Privacy Policy of the Synergia Portal of the Faculty of Management at the University of Warsaw

The Privacy Policy contains information for users regarding their data collected and processed while using the Synergia Portal of the Faculty of Management at the University of Warsaw (hereinafter referred to as the Portal).

All terms used in this Privacy Policy shall have the same meaning as in the Regulations of the Synergia Portal of the Faculty of Management at the University of Warsaw, unless otherwise stipulated.

Personal data of the users

Personal data are processed by the University of Warsaw (UW) located at 26/28 Krakowskie Przedmieście, 00-927 Warsaw, in accordance with the law and with due process and security.

Data processed

In order to provide services in the Synergia Portal of the Faculty of Management at the University of Warsaw it is required to create a user account. The user account can be registered directly in the Portal, in this case the following personal data are processed: name and surname, position, e-mail address, telephone number, login and image, if the user has uploaded a profile photo.

After creating an account by students, graduates, and employees of the Faculty of Management at the University of Warsaw (user registration) the following personal data are processed: name and surname, university, faculty, major, specialization, year of enrolment, year of graduation, album number, diploma number, e-mail addresses, phone number, status (student, graduate, employee) in order to adjust the content and functionalities offered by the Portal to each group of users.

If a non-logged-in user contacts via email, the email address provided by the user is used to respond and possibly take the action requested by the user. The system automatically saves the IP number of users.

Purpose and basis of users' personal data processing

The aim of processing the users’ personal data in the Synergia Portal of the Faculty of Management at the University of Warsaw is to provide the services and practical usage listed in the Terms of Use of the Synergy Portal of the Faculty of Management at the University of Warsaw, which are the subject of its operation.

The basis for the processing users’ personal data of the Synergia Portal of the Faculty of Management at the University of Warsaw is Article 6.1.a of the Regulation on the Protection of Personal Data (GDPR) - consent to the processing of personal data.

The user's consent to the processing of personal data is expressed by creating an account in the Synergia Portal of the Faculty of Management at the University of Warsaw. The above action requires acceptance of the Terms and Conditions of the Synergia of the Faculty of Management at the University of Warsaw, which is necessary to provide the services described as practical use of the Synergia Portal of the Faculty of Management at the University of Warsaw.

 

Processing of users’ personal data by the Synergia Portal of the Faculty of Management at the University of Warsaw

In the case of processing users' personal data on the basis of the consent given by the user, the user has the right to withdraw the consent at any time. The withdrawal of consent does not affect the lawfulness of processing, which was carried out on the basis of the consent before its withdrawal. In order to withdraw your consent, please send an appropriate letter of intent to the following email address: synergia@wz.uw.edu.pl

Personal data are stored until deletion of the user's account or until withdrawal of consent for processing of personal data, as well as for the time necessary for defense in the event of a possible claim by the user against the Administrator resulting from the provision of services electronically through the Portal, which has a statute of limitations of 10 years.

Processing of data collected automatically

When a user visits the Synergia Portal of the Faculty of Management at the University of Warsaw, their login data are collected automatically: IP address, date and time of user account registration, date and time of their login to the Portal.

The above data are used for technical purposes related to the Portal administration. IP addresses are also used to gather statistical information regarding visits to the Portal.

The right to access, correct, and delete personal data

The user has the right to access their personal data processed by the Administrator and to correct them. The user can independently make changes to the data they have provided - after logging in to their own account in the Synergia Portal of the Faculty of Management at the University of Warsaw.

Under the terms of GDPR, the user has also the right to delete data, limit processing, and withdraw consent to their processing at any time.

The user has the right to lodge a complaint with the supervisory authority competent in matters of personal data protection, if they believe that the processing of their personal data violates the provisions of generally applicable law in this regard, in particular the provisions of the GDPR and the Act of May 10, 2018 on personal data protection.

Personal data security

The Administrator uses appropriate technical and organizational measures to ensure the security of users' personal data, including protecting them from access by third parties. However, it should be taken into account that no method of data transmission over the Internet and no method of electronic or physical data storage is completely safe.

Cookies Policy

The Administrator automatically collects information contained in cookies. Cookies are IT data stored in the end user's device in order to use the Portal. The data stored in cookies do not identify the user.

The Portal may contain redirections to websites connected with the themes of the Synergia Portal of the Faculty of Management at the University of Warsaw. These websites have their own rules concerning privacy and the use of cookies. The Administrator has no influence on the content of cookies sent by third-party websites the links to which are posted in the Portal.

The Portal uses cookies for the following purposes:

  • to enable the use of certain services available in the Portal – in particular for user authentication while logging in;
  • for statistical purposes – to determine how users use the Portal, which makes it possible to improve its structure and content.

The Administrator uses Google Analytics tools provided by Google Inc. based in the USA (Google) for statistical purposes.

Social plug-ins

Some content on the Portal uses so-called social media plug-ins, with the help of which you can share content published in the Portal. When using social media plug-ins, the social networks operating them may collect user data.

Changes in Privacy Policy

Any changes to the Privacy Policy will be communicated to the users by means of an appropriate announcement in the Portal. The version of the Privacy Policy available in the Portal is the version currently in force.
